Convert bank statements to QuickBooks entries

Drop in a PDF, CSV or Excel statement. SyncMate Pro reads every line, checks that the statement's own arithmetic ties, matches the lines against what QuickBooks already has, and posts only the entries you approve. Or hand the statements to your AI agent and let it do all of that, with your OK at every change.

From statement to posted entries

  1. Step 1

    Drop in the statement

PDF, CSV or Excel — bank account or credit card. Check images printed on the statement are read too, so payees come from the check itself.

  2. Step 2

    Review the accounting

Every line is matched against what QuickBooks already holds. What is missing is laid out in a spreadsheet with payee, category and amount ready to check.

  3. Step 3

    Post what you approve

Approved lines post to QuickBooks Online as expenses, checks and deposits. Each line carries its own ID, checked before anything is sent, so a line already posted is not posted again.

The statement has to tie

Opening balance plus activity must equal the closing balance, to the cent. When it does not, you see exactly which figure disagrees before anything posts.

Nothing posts unseen

Every line is on screen and editable before it reaches QuickBooks — payee, category, class, location and amount.

No double-posting

Lines already in QuickBooks are recognized and left alone. A statement uploaded twice is flagged as a copy and counted once.

PDF, CSV and Excel

Bank exports in any of the three formats work, including long PDF statements read over several passes.

Month-end proof built in

Each statement period is proven against the statement's own balances, so you close the period where you worked it, not in a separate tool.

Logged and reversible

Every batch records what posted and what QuickBooks returned, and a posted batch can be undone.

Questions people ask

Which banks and cards are supported?

Any statement you can download as a PDF, CSV or Excel file. The reader works from the statement's own figures rather than a per-bank template, so it is not limited to a list of supported banks.

Will it duplicate transactions already in QuickBooks?

No. Lines are matched against your QuickBooks ledger by date and amount, and each new entry carries a stable identity key. Anything QuickBooks already has is shown as matched and left alone.

What about credit card statements with employee cards?

Statements that list several cards on one document are read per card, and where the company keeps a QuickBooks account per card, each line posts to its own card's account.

Which QuickBooks products are supported?

QuickBooks Online, and QuickBooks Desktop through the QuickBooks Web Connector (bank and card lines post as checks, deposits and card charges and credits). You can also keep the books in SyncMate Books, the built-in ledger.
